This blog post will peek behind the scenes and explore a typical day for our venue general manager, Robin Basu.
Morning: Setting the Stage
As Robin enters a world of excitement, coordination, and meticulous planning, he starts his day with a cup of coffee and a review of the day’s schedule. He will carefully examine the upcoming events and ensure that all necessary preparations are in order. From confirming bookings to coordinating with event organisers, the morning is about setting the stage for a smooth and successful day ahead.
One of the first tasks is conducting a thorough walk-through of the venue to ensure it is ready for the upcoming events. Robin checks all the rooms are set up correctly, checking all the finer details and ensuring all the amenities are fully functional. Attention to detail is crucial, as even the smallest oversight can negatively impact the event.
Mid-Morning: Communication and Coordination
Effective communication is at the heart of a venue manager’s job, and it’s no different for Robin. Mid-morning is when he reaches out to event organisers and suppliers to finalise important details. This includes confirming catering requirements, technical setups, and any special requests from the clients.
In addition to communication, Robin also oversees the logistics of each event. This involves coordinating with suppliers, such as audio-visual technicians, maintenance, and event personnel, to ensure everything is in place. He also works closely with the operations team to ensure smooth transitions between events.
Afternoon: Hands-On Management
As the afternoon arrives, Robin will shift his focus to on site management. Whilst he handles administrative tasks throughout the day, this is the time when he is most visible and actively engaged in ensuring the smooth running of ongoing events.
He meticulously monitors each event, paying attention to the clients’ and attendees’ needs and concerns. Robin constantly checks that all equipment is functioning correctly and swiftly addresses any issues that arise. He is the go-to person for troubleshooting, making quick decisions, and ensuring the event runs seamlessly.
Evening: Wrapping Up and Reflecting
As the events wind down and attendees disperse, Robin’s work for the day is not yet finished. Even into the late evening, he remains on site to oversee the post-event cleanup, ensuring the venue is ready for the next day. He checks that all equipment is safely packed away and suppliers have closed their operations.
With the day’s activities complete, Robin takes a moment to reflect, evaluating the successes and challenges of the day, and identifying areas for improvement. This reflection is instrumental in refining his skills and providing valuable feedback to the team.
